All your employees do it.  They leave every day, week, month for weekends, annual leave and extended holidays.  Leaving you behind with the responsibility of ensuring that their jobs are done as effectively as ever when they're not there.

Step 1.   Systemise your business.

Build a business that you can leave any time you like and still have it run as successfully and competently as ever.  This is achievable through organised and documented systems for all departments within your business, not just those that deliver your product or service.

Step 2.  Focus on systems

Systemise everything from the smallest and simplest tasks to the most complicated technical activities.  Document, test and review every action that occurs in the business.  Every policy, procedure, form, checklist, database and resource can be documented over a period of time so that the intellectual property that each person in the business has is available forever.  Everything!

Step 3.  Integrate the systems

Starting from the beginning...ensure that every system has a clear start and finish and that the next and preceding systems have a clear connection.  Leave no holes available for assumptions to creep in!

Step 4.  Train, train, train

Continuously train your employees on the system from the moment they join the company.  Make all systems documentation available easily and quickly to every person that may need it. 

Step 5.  Leave any time you like for as long as you like!

If you have a documented system that is used to train the business' employees and is readily available to everyone, you are no longer required!  Pack up and leave!  You've made it!

Step 6. Add more value to your business

Now that you've achieved the ultimate in business, learnt how to create a business that runs without you, you are now free to work on expanding the value of your business!  You now have the time and knowledge to know the steps required to take advantage of every opportunity that comes your way.  Expand your business and systemise the new segments, products or services.  Grow, grow, grow!

Over time you will develop a business systems manual that will contain all of the activities of the business.

  • The steps for recruiting new people; where you find them, what skills they require, what forms they complete when they start etc etc.
  • How you manage your employees, measure their achievements
  • Find new customers, measure the profit they generate
  • The strategies of the business in developing new products, handling customer inquiries, finding suppliers, responding to competitors
All that is left to do is manage the system.  Your managers, employees, customers and suppliers all need to have access to the individual parts/pages of the manual that helps them to achieve whatever it is that they are trying to accomplish with your business.

Avoid your day in court...or worse

 
One of life's little experiences that is best avoided is a visit to court as a result of a work place accident.  The newspapers and internet are full of examples of accidents that have resulted in a sizeable fine for employers of in some cases hundreds of thousands of dollars.  How would an incident like this affect your business?  Could you pay a $1,000,000 fine and continue your business or would that result in a loss of your business and in some cases a loss of homes and families.
  
Employers who are not aware of their rights and responsibilities should take immediate action to above all reduce the risk of injury to their employees.  WorkCover authorities around Australia have information available from their websites which inform employers of certain steps that must be taken in order to not be in breach of the legislation. 
 
 
An 'if you are injured poster' MUST be displayed in all workplaces where all workers can read it.  You will also need to keep a register of injuries that tracks workplace injuries and illnesses.
 
 
The best way to avoid the pain is to regularly complete a safety audit that identifies any problems before they cause an injury. 
 
 
Just like any system in your business, a well documented safety system that is available to all employees will reduce the risk of actions being taken that are outside of the system.  A safety system manual starts with a clear and concise safety induction manual and then covers all aspects of your site conditions, and then what to do if a concern is raised and the actions required if a accident does occur.
